New starters and leavers

Do you handle new starters and leavers for my business?

One of the things we often get asked about at Sound Networks is whether we handle the new starters and leavers for a business as part of our monthly IT support plans. Well of course, that's very much what we do.

Handling new starters is critical to a smooth onboarding process when you have new staff members. Nobody wants to start a new job and, when they turn up on the first day, find out that there's no computer for them to work on or that their user account has not been set up or that nobody knows what their password is. Or that they have a new computer, but no access to the resources they need to do their job. This does not create a good first impression and is not the beginnings of a happy relationship.

Conversely, handling leavers quickly and efficiently is a core part of your staff off-boarding process as well as your cyber security. Sometimes this can be planned weeks in advance. On other occasions it's required almost immediately with no warning.

Our aim at Sound Networks is to handle starters with one ticket and leavers the same, with one ticket. This means first capturing all the information about the new starter, for instance a few crucial points, but not an exhaustive list could be as follows:

  • When will they start?
  • What machine will they use?
  • Where will they sit?
  • Who is their line manager?
  • What will be their email address?
  • What's their role?
  • What resources and applications do they need to hit the ground running?
  • What licences do they need?
  • Do they need delegate access to anyone else's mailboxes?
  • Do they need to be in any shared or distribution list groups?

All businesses are different, so we tailor our processes to match your needs. This doesn't happen instantly and it takes time and work from both of us working together to fine-tune this process.

With the leavers we need almost the reverse:

  • What date will they be leaving?
  • Will you need access to their mailbox after they have left and who will access their mailbox after they have left, or can it be deleted?
  • Do you want an auto-reply set on the mailbox?
  • Will anyone need access to that user's own data?
  • Will another user take on their machine, or will it be repurposed when the next recruit takes over their role?
  • Will you still need their Microsoft 365 licence?

At Sound Networks we realised some time back that there is nothing more frustrating for you or us than to take several days to get a new starter set up properly, with the job spread out across multiple tickets. For instance, somebody starts on the Monday and then on the Tuesday they realise they don't have access to some critical information and then the following day they don't have all the printers they need, this is not good for anybody. Because of this we implemented a system that means both parties are clear about the process and we make it easy for you to be able to tell us exactly what the new starter will need to do their job. But it's important to be clear at this point that we can only action what you tell us.

The starter and leaver process cannot work immediately without co-operation from both parties. At Sound Networks, we work together with our clients to tailor and constantly improve this service so that it works for you. It’s never a case of won and done; it’s always evolving and requires consistent curation to remain effective.
