If you think you know all you need to know about email security there just might be a few things worth revisiting from time to time. Security isn’t just about simple Anti-Virus or Malware software anymore. The world has moved on.

If you have a website which has been set up with a contact form that sends you emails, then one of the first things we need to check is their legitimacy. In other words we can look at the DNS of the source and find out if the website has been declared as a legitimate source of email from that domain, if it is not declared, there is a strong chance that you will have deliverability issues with these emails - so you could be losing out on incoming enquiries or sales. Plus, your customers may be missing out on confirmations or order updates.

People are often only interested in getting the website up and running and pay much less attention to the email part of it. However, they may not have configured their DNS records correctly. Have they declared the IP of the Web server or mail relay in the SPF records, so it is declared as a legitimate source of email? Have they used a third-party mailer because their website is probably on a shared hosting platform? Shared hosting platforms are often open to abuse by others and there is a strong chance that it will probably end up on a blacklist sometime sooner or later, causing further deliverability issues. Therefore, unless you use a third-party mailer, chances are the emails will get blocked at some point anyway, even when the web server IP has been declared in your DNS records. You built a website so that customers and prospects can get in touch with you, don't fail at the final hurdle with email deliverability issues.

Sometimes people come to us at Sound Networks and say...

“Oh, you know I’ve got the new website up and running. It looks great, but I’m not getting emails from the contact form”. Perhaps they were trying to send emails from their website and that wasn’t declared as a legitimate source?

What other safety mechanisms can be used? Well, consider the following:

SPF, DKIM and DMARC, DNS records combined help to ensure that attackers cannot send emails pretending to be you without failing authentication, DKIM helps to prove the email wasn't tampered with and DMARC gives you the ability to tell others to block or quarantine those bad emails.

Flag any suspicious behaviour immediately. Things like unusual login locations or repeated failed attempts.

Provide your staff with reporting tools that can enable them to escalate suspicious emails instantly.
